How to Use TruckIQ SMS

TruckIQ SMS runs your dispatch, invoicing, and collections entirely through text messages โ€” no app, no login, no desktop software. You text START to 978-878-2547, answer a few questions, and the system is live in about 90 seconds. Everything happens in a normal SMS conversation on the phone you already use. Here's how each piece works.

What you'll walk away with

Getting Your Account Active

Text START to 978-878-2547 (that's 978-TruckIQ). The system will ask you for your MC number and a few basic details. It runs an automatic FMCSA SAFER lookup to verify your authority is active, and your account is set up in about 90 seconds.

That's the entire onboarding. No email signup, no password, no browser. If you can send a text, you're done.

Use the phone number you actually dispatch from. TruckIQ replies to the number that texted START โ€” make sure that's the number you want to run everything from.

Turning a Rate Con Into a Load Record

When a broker emails you a rate confirmation, forward it by text to TruckIQ. The system reads the rate con and pulls out the structured details โ€” pickup location, delivery location, rate, broker name, reference number, and pay terms.

You get a clean summary back by text. No re-typing, no spreadsheet. The load is now in your system and ready for dispatch.

Rate cons come in a lot of formats. If TruckIQ can't parse something, it'll tell you what it needs โ€” just reply with the missing piece.

Sending Dispatch to Your Driver

Once a load is in the system, TruckIQ generates a driver-ready dispatch text. It covers the pickup address, delivery address, load reference number, and any instructions pulled from the rate con.

You review it, then forward it to whoever is running that load. Your driver gets a clear, professional dispatch text from you โ€” TruckIQ never contacts your drivers directly. The tool is yours. Your drivers never touch it.

You control what goes to your driver. TruckIQ drafts it โ€” you send it. Nothing goes to your driver automatically.

Keeping Brokers Updated on Location

Some brokers require check calls or location updates. TruckIQ can send scheduled location-update emails to brokers on your behalf. You text in the update โ€” where the truck is, any delays โ€” and the system formats and sends a professional email to the broker.

This keeps you compliant with broker check-call requirements without you having to write emails or make calls mid-day.

TruckIQ does not use in-cab GPS or ELD hardware. Location updates come from you โ€” you text what you know, and TruckIQ sends the email.

Invoicing When the Load Delivers

When your driver gets a signed POD, have them send you a photo of it. You forward that photo to TruckIQ by text. The system takes the POD photo, matches it to the load record, and builds a professional invoice packet โ€” then emails it directly to the broker.

The invoice packet includes the invoice itself, the rate con, and the POD. That's the standard set most brokers require for payment. You never have to open email, find the rate con, or format anything.

If you're factoring, you can forward the same packet to your factoring company. TruckIQ gives you what you need to get paid either way.

Send the invoice the same day the load delivers. The longer you wait, the longer your money waits.

Tracking Who Owes You and Who's Late

TruckIQ tracks accounts receivable for every load you run through it. It watches the payment terms from the rate con โ€” typically net-21 or net-30 โ€” and flags brokers when they go past their window.

You get a text alert when a broker is overdue. That's your prompt to follow up before the balance gets older and harder to collect.

This isn't a full accounting system and it doesn't replace your bookkeeper or your tax software. But it tells you, in plain text, who owes you money and how many days they're past due โ€” which is the piece most small fleet owners are losing track of.

Net-21 and Net-30
These are the most common broker pay terms on rate cons. TruckIQ reads the pay terms off the rate con and starts the clock from the invoice date.
Overdue alerts
When a broker crosses their pay window, TruckIQ texts you. You decide when and how to follow up โ€” TruckIQ doesn't contact brokers on your behalf for collections.
If a broker goes past 30 days and you haven't invoiced correctly, your leverage drops fast. TruckIQ's AR tracking is only as good as the invoices you've sent through it โ€” make sure you're running every load through the system.

Text START to 978-878-2547 and forward your next rate con โ€” TruckIQ will parse it, build the load record, and have a dispatch text ready for you before you finish your coffee.
